Setting Up Your Properties

Configure properties, enable AI messaging, and manage property information

The Properties page is your command center for managing AI messaging across all your listings.

Properties Overview

Each property shows:

  • Property name and image from your PMS
  • Location (city, country)
  • AI Messaging toggle - Enable/disable Guestar for this property
  • Upsell toggles - Early Check-in, Late Check-out, Booking Booster
  • Onboarding progress - How much property info you've added
  • Configuration links - Property Info, Share, Upsell Settings

Enabling AI Messaging

Before you can enable AI messaging, you need to complete at least 50% of the property information form. This ensures Guestar has enough context to respond helpfully.

The onboarding progress bar shows your completion percentage. Key fields include:

  • Check-in time and method
  • WiFi name and password
  • Parking instructions
  • Property address/location

Once you reach 50%, the AI Messaging toggle becomes active.

Property Information

Click Property Info to open the onboarding form. This is where you teach Guestar everything about your property.

Property Basics

  • Property type (villa, apartment, house)
  • Google Maps location link
  • Number of bedrooms and bathrooms
  • Maximum guests
  • Pet policy
  • Air conditioning / heating

Access & Arrival

  • Check-in method (lockbox, smart lock, meet & greet)
  • Check-in and check-out times
  • Backup contact for emergencies
  • Parking availability and instructions
  • Directions and landmarks
  • Luggage storage options

Amenities & Features

  • WiFi details (network name, password)
  • Pool (private/shared)
  • Kitchen equipment
  • Entertainment (TV, streaming services)
  • Laundry facilities
  • Safety features (fire extinguisher, first aid)

Local Recommendations

  • Restaurants and cafes
  • Grocery stores
  • Attractions and activities
  • Transportation options
  • Beach/nature access

Emergency & Escalation

  • Local emergency contacts
  • Nearest hospital/pharmacy
  • Property manager contact
  • Escalation procedures

Sharing the Onboarding Form

Don't have all the property details? Share the form with property owners or managers:

  1. Click Share on the property row
  2. Copy the secure link
  3. Send it to whoever has the property details
  4. They can fill it out without needing a Guestar account
  5. Review and approve their submission before it goes live

Reviewing Submissions

When someone submits property information via a shared link:

  1. A Review badge appears on the property
  2. Click to open the submission review modal
  3. Compare submitted data with existing information
  4. Approve, modify, or reject individual fields
  5. Merged data updates your knowledge base

Searching and Filtering Properties

Use the search bar to find properties by name. If you have Property Sets configured (in Settings), you can filter by set.

Syncing with Your PMS

Click Sync Properties to pull the latest data from your PMS (Hostaway or Hostify). This updates:

  • New properties added in your PMS
  • Property names and images
  • Listing details

Note: Your property information (onboarding data) is preserved during sync.
